Overview
As a J-1 Exchange Visitor, you are part of a program overseen by the U.S. Department of State (DOS). To ensure your safety and the integrity of the J-1 Exchange Visitor Program, the DOS requires program sponsors, including universities like the UW, to promptly report certain types of incidents involving J-1 students.
The Department of State defines a “serious incident or controversy” as “any situation that have or could endanger the health, safety, or welfare of an exchange visitor or otherwise could be expected to bring the Department of State, the Exchange Visitor Program, or the sponsor’s exchange visitor program into notoriety or disrepute.” Whether it’s a serious health issue, a legal situation, or an event that affects your well-being, timely reporting allows the University of Washington to take appropriate action to ensure compliance with federal regulations and your wellbeing.
Reportable Incidents
The following incidents must be reported to your J-1 program sponsor (UW ISS office, IIE, etc.) as soon as possible:
Serious Medical Issues
- Hospitalization or emergency medical treatment
- Mental health crises
Incidents of Abuse or Harassment
- Reports of sexual misconduct, discrimination, or harassment
Death of Exchange Visitor including Dependents
Incidents Involving the Criminal Justice System
- Arrests, charges, or detainment by law enforcement
- Criminal convictions or court appearances
- Litigation or lawsuits
Incidents Involving Child Protective Services
Lost or Stolen Immigration Documents
- Lost or stolen passport/visa or stolen Form DS-2019)
Port of Entry Issues
- Denial of entry, removal proceedings, Notice to Appear, etc.
Proscribed Antisemitic Actions
- Physical actions directed towards Jewish individuals and/or their property, community institutions, or religious facilities that violates the law or university rules
Serious Violations of University Conduct Rules
- Refer to the University Code of Conduct
Terrorist Activity, Endorsing or Espousing Terrorism
- Engagement in terrorist activity; membership in a terrorist organization; endorsement of terrorist activity
Other Serious Events
- Fraud
- Any situation that may raise concern from the DOS or impact your visa status
